The short version
We collect what we need to run this event. We never sell it and we never use it for anyone's marketing. It goes to a few services that run the site for us, and they are listed below. You can ask what we hold on you, and you can ask for your personal information to be removed. Some of it is public and some of it is permanent. This notice says which.
See also the Terms and conditions and the Rules and FAQ.
Who runs this site
Atherly's After Dark runs this site and the live nights. We are based in Trinidad and Tobago. "atherlysafterdark" is an unregistered trading name, not a registered company, and we do not publish a postal address. Contact is through The Front Desk below.
To reach us, message The Front Desk on Instagram: @atherlysafterdark.
Use it to ask what we hold on you, to ask us to remove it, or to complain. The answer on removing your information also gives an email address for those requests.

What we collect about you
What do you collect, and why?
Only what you type into a form, plus a few technical details. Form by form:
- DJ registration. Act name, act type, the second member's name for a duo, email, phone, Instagram handle, and your yes to the terms.
- Mix submission. Act name, email and your mix, as a link or a file.
- Voting. Your email, the entry you voted for and the time. When the season uses star ratings instead: the stars you gave each mix, how long you had listened to it and when, saved under a ballot that is not linked to your email (see below).
- Judging. A judge's name, email, optional bio and photo, scores and written comments.
- Feedback. Your message, and a name and email only if you add them. A copy also goes to the team's inbox.
- DJ reserve list. Shown only when registration is full. Your act name and an email or WhatsApp number. It is saved the same way as feedback, so a copy also goes to the team's inbox.
- Comedy sign-up. On the Get on stage page: your name, a way to reach you (email or phone), the kind of set, and one optional line.
- DJ account. Email and password, plus any phone, Instagram handle, bio and profile photo you choose to add.
- Comic profile. Email and password, a stage name, and any tagline, picture and links (up to three) you choose to add. A comic profile is public. The next answer says how.
- News posts. If you share something in the News section: a headline, a few words, a category and one link, shown under the name on your account.
- Mentorship, forum, comments and games. The name you type, your words, and what the sections below describe.
We use it to run the season: holding your spot, reviewing entries, confirming votes, setting judges up to score, pairing mentors with apprentices, and replying if you asked to hear back. It is not used to sell anything. (The Calendar takes no public submissions and collects nothing from visitors.)
What's collected when I create a DJ account?
Creating an account (Sign up) is separate from registering for a season spot. It is an optional profile you can set up whenever suits you, with your email, a password, and whatever you choose to add of phone, Instagram handle, bio, and profile photo.
Your password is hashed before it's stored. We never see or store it in plain text. A sign-in lasts 30 days on that device.
What's collected, and what's public, when I make a comic profile?
A comic profile (Make a profile) is a separate account from a DJ account, with its own sign-in. If you are both a DJ and a comic, you have two.
What we collect. Your email and a password, a stage name, and whatever you choose to add of a tagline, a picture and up to three links. Your password is hashed before it's stored. We never see or store it in plain text. A sign-in lasts 30 days on that device. For your sign-in, and for the one-time links we email you, we keep only a one-way fingerprint, not the link or sign-in itself. A verification link works for 24 hours and a password-reset link for 1 hour.
What is public. Your stage name, tagline, picture and links. They show on the Line-up and on your own profile page. There is no approval step. Your profile goes up as soon as you confirm your email, and every change you save is public straight away. Your email is never shown publicly.
Your picture is kept in public storage. Anyone who has its web address can open it. Removing the picture, or deleting your account, deletes the file.
Who can take it down. You can. Change or remove anything on your profile page, or delete the whole account. The team can too. If we pull a profile it leaves the Line-up, its page stops working, you are signed out and your picture is deleted. We keep the account on file, out of public view, until it is deleted.
Who handles it. The same services as the rest of the site. Cloudflare stores the account and the picture and runs the bot check on the sign-up and password-reset forms. Google sends the verification and password-reset emails. Netlify serves the pages. See who receives your information.
Do you collect anything just from visiting?
Our own code collects nothing from a visit. The service that hosts the pages, Netlify, sees your IP address and which page you asked for, as any web host does. We run no analytics and no ad trackers.
When a page opens, it asks Google for the event dates and Cloudflare for the live counts. That happens before you answer the 18+ question. Some pages with a form also load Cloudflare's bot check as they open. Each of these sees your IP address. A form sends what you typed only when you press its button.
Who receives your information
Which services receive my information?
These services run parts of the site for us. Each one has its own privacy policy, and it applies to what that service does.
- Google. Stores what you send in forms (entries, votes, feedback, comedy sign-ups, game scores) in a Google Sheet. Runs the scripts behind the site and sends our emails, including the verification and password-reset emails for DJ and comic accounts. Comments on gallery items, news posts and submitted mixes are kept in the Sheet too.
- Cloudflare. Runs our accounts and chat services. Stores DJ accounts, comic profiles, forum posts, mentor threads, uploaded mixes, photos and avatars. Runs the bot check on voting and on every form that sends us information. Runs the language model that answers Ask AAD.
- Netlify. Hosts the pages you load.
- Giphy. If you search for a GIF in chat or a comment, your search and your IP address go to Giphy, and the pictures load from Giphy.
- YouTube. The background music and any video on a page use YouTube's player. The music player loads only when you switch the music on. A news item that links to a YouTube video also loads YouTube's picture for it (from i.ytimg.com) as the item appears, so your browser contacts Google before you press play. The player itself loads only when you tap the video.
- SoundCloud and Mixcloud. A mix shown in one of their players loads that company's player on the page.
- Instagram (Meta). If you message The Front Desk there, your message goes to Instagram.
- The ticketing platform. When tickets are on sale, you buy on a ticketing platform we link to. It takes your order and payment and has its own privacy notice. We do not see your card details.
These companies run servers in several countries, so your information can be handled outside Trinidad and Tobago. We do not sell your information, share it with ad networks or data brokers, or use it for anyone else's marketing.
Who on the team can see it?
The people who run the event can open the Google Sheet, the account database and the team inbox.
Is my email or phone ever shown publicly?
Your phone number is never shown publicly, under any circumstance. Your email isn't on the Vote page (entries are shown as anonymous labels like "Entry 7" until the top 8 are revealed), isn't in the DJ registry, isn't on a profile or a comic profile, isn't on the forum, and isn't on the Legacy Tree.
Can someone check whether I have an account here?
Not by browsing or searching. But if someone already knows the address you signed up with, the site can confirm an account exists on it and show your artist name, your photo and any mentorship credits already public. It never works the other way round: nothing here hands out an email address.
What does my public DJ profile show?
Only what you switch on. Under Listing & Privacy on My Account, two settings, both off by default, control whether you appear in the DJ registry and whether your showcase mixes play publicly.
When it's on, your profile shows your artist name, photo, bio, Instagram handle, genres, season history, and any mentorship credits. Your email and phone are never shown, whatever those settings say.
If you're an approved mentor, your profile stays public for as long as you're on the mentor roster, since apprentices need to be able to find and contact you.
Mentors and the forum
What does the mentorship programme collect?
An apprentice profile collects what you're looking for and the genres you play. A mentor application collects a bio, the genres you can mentor in, and when you're best reached. Our team reviews it before it goes public. Every request you send a mentor carries a message you write, visible only to the mentor you send it to.
Who can read my mentor thread?
Only the two of you. Access is limited to the paired mentor and apprentice, and no other DJ can see it. If either of you ends the mentorship, the thread becomes read-only for both sides but stays fully visible. There is no way to delete individual messages, including through a removal request.
What becomes public when a mentorship is accepted?
This is more public than most people expect. As soon as a mentor accepts a request, the pairing goes onto the public Legacy Tree with both names and both photos, and it is permanent.
Ending the mentorship later marks it as past and does not remove it. A News post naming both of you is also published. Your registry listing setting does not affect this.
What about a mix I upload inside a thread, or a report I file?
A mix shared inside a mentor thread isn't linked from anywhere public and doesn't appear on your profile, but it is also not behind a password, so treat it as unlisted, not private. A safety report you file about a mentor or apprentice goes to our team only. It is never shown to the person you reported, or shown publicly.
What does the forum record about me?
The board is open. You can read, vote, post and reply without an account. Every question and reply records the IP address it was posted from, to help us deal with abuse. It is never shown publicly and it stays for as long as the post does.
Posts and votes are kept to preserve the board's history, though you can have your posts anonymised on request (see below). Comments on gallery items, news posts and entries keep the name you typed (or Anonymous) and your words. On request, the team can delete a comment on a gallery item, news post or submitted mix, or every comment left under one name.
If you are signed in to a comic account, your questions, replies and comments carry your stage name and a Comic badge. The same IP address rule applies.
What happens to something I share in the News section?
A signed-in DJ or comic can share one song, video or piece of news: a headline, a few words, a category and one link. Our team checks every post before anyone else can see it. Once it is public it shows under your name (your artist name or stage name) with your badge. You can withdraw a post that is still waiting. The team can take a public one down.
Posts are kept until you or the team remove them. Comic accounts: your posts are deleted when you delete your account. For anything else, message The Front Desk on Instagram: @atherlysafterdark and say which post.
The team also posts items itself. Those are shown as from Atherly's After Dark, with no member account behind them, and credit the artist by name.
YouTube pictures. A news item that links to a YouTube video shows YouTube's own picture for it, loaded from YouTube's image server (i.ytimg.com). Your browser contacts Google to fetch it as the item appears, before you press play, and Google sees your IP address and browser details. The picture is skipped if your browser is set to save data, and the video itself still loads only when you tap it.
Votes, chat, games and cookies
How do you keep the crowd vote fair?
Two checks run when you vote. Cloudflare Turnstile, a bot check that is usually invisible, looks at technical signals from your browser to tell people from automated scripts; Cloudflare handles that under its own privacy policy.
The same bot check runs on the forms that send us information: DJ registration and the reserve list, sign-up, password reset, the comic profile sign-up and password reset, feedback, the comedy sign-up, and forum questions and replies. Cloudflare sees your address and a one-time token each time.
We also count how many votes come from each internet connection, using its IP address, so one connection can only cast a few votes a day. That count is never shown, isn't linked to your email, and is deleted every night once it is a day old, so it never stays much beyond two days.
Your email and the entry you voted for are saved in the Google Sheet, so each email can vote once.
When the season uses star ratings, the same two checks run once, when you open your ballot. Your email is checked against the judge and registered-DJ lists, then turned into a one-way code so the same mailbox can only open one ballot. The email itself is not saved with your ratings. Your browser then keeps a private ballot key. Your ratings (the entry, your stars, how long you had listened, and when) are stored with Cloudflare under that ballot, and only each mix's totals go to the Google Sheet. The page counts listening time on this device to unlock rating; that count stays in your browser and only the number for a mix you rate is sent with the rating.
Do you use cookies or tracking?
Our own code sets no cookies. We run no ad trackers and no analytics.
We do save small items in your browser's own storage so the site works. They hold your age confirmation, the side you last chose, your sign-in, whether you have voted (or, with star ratings, your private ballot key and how long you have listened to each mix), likes you have cast, your chat nickname, your game name and an anonymous player ID your browser makes up, an anonymous ID for forum votes, music settings and some saved dates. They stay on your device. Clearing your browser data removes them.
While you are signed in to a DJ account, your browser also keeps a copy of your account details (a sign-in lasts 30 days): your email, artist name, and any phone number, Instagram handle and bio you added. Signing out removes it. On a shared device, sign out when you finish.
While you are signed in to a comic account, your browser also keeps a copy of your comic account details (a sign-in lasts 30 days): your email, stage name, tagline, picture address and links. Signing out removes it. On a shared device, sign out when you finish.
The comedy sign-up keeps what you typed in the browser tab only, so a reload does not lose it. It goes when you close the tab.
Services we embed (YouTube, SoundCloud, Mixcloud, Giphy and the Cloudflare bot check) are run by those companies. They may set their own cookies when their content loads.
If you sign into a verified DJ account, your gallery, news and Q&A comments show your artist name with a badge. Signed in to a comic account, your gallery and news comments show your stage name with a Comic badge. If you are signed out, likes and votes are tied to an anonymous ID instead of your name.
What does Ask AAD store?
Ask AAD answers from a written list when it can. Otherwise your question (up to 400 characters) goes to a language model run by Cloudflare, which writes the reply.
Our service does not save your question or the answer. It only counts how many questions were asked today. If you are signed in, Ask AAD can read the status of your own account to answer questions like where your entry stands. It cannot read anyone else's.
What does the live chat store?
The chat is anonymous by design. When a message is sent we keep its text, the nickname you chose and the time. We do not keep your IP address or any browser marker with the message, so a stored message cannot be traced to a connection.
Messages are kept for 48 hours, and no more than the last 150. Reactions are not stored. If a person is removed from chat, we keep the nickname and an anonymous browser marker so the removal holds. A short block on an IP address can last up to 7 days after a ban.
If a person is muted, the chat service holds their browser marker and their connection address in memory until the mute ends. A mute lasts 10 minutes unless the team sets another time. It is not saved to disk, and a restart of the chat service clears it.
The Hype Meter and the Soundboard are anonymous. The Hype Meter keeps only the time and level of a peak, with no name.
What does the games leaderboard store?
When you send a score we save the game, your score, the time, the name you typed (up to 40 characters, or Anonymous) and an anonymous player ID your browser made up. The top 20 names and scores for each game are shown publicly. Nothing else is shown.
Scores stay until the team clears the board or you ask us to remove yours. Playing without sending a score stores nothing on our side.
What about the Visualizer's microphone access?
The Visualizer asks for microphone (or line-in) access to drive its live visuals. That audio is analyzed entirely in your browser. It is never recorded, saved or sent anywhere, including to us.
What emails will you actually send me?
Only ones tied to something you did: a registration confirmation and its approval, account verification and password-reset links (for DJ and comic accounts), and mentorship nudges if you're in the programme. Voting doesn't send an email; your confirmation shows on screen. Google sends them for us. The only bulk mail we send is an occasional update from the team, and every one carries a one-click unsubscribe.
Who can get those updates. DJ accounts, as the Terms say. A comic profile is on the list only if its owner ticked the email box when making the profile, or later on the comic account page. It is unticked unless you tick it, and you can change it any time. Any other account is on it only if its owner ticked Email me updates from Atherly's After Dark when signing up or later in My Account. That box covers occasional updates from the team and nothing else. Emails about your own account reach you whether it is ticked or not.
I'm in a photo from one of the nights. Can it come down?
Yes. Message The Front Desk on Instagram: @atherlysafterdark, say which photo, and we'll pull it. We shoot our events and publish photos and video in the Gallery. A crowd shot is not tied to any account, so we act on the photo you name. You don't need an account to ask.
Keeping and removing your information
How long do you keep this information?
The rule we work to: we keep personal information for as long as it is needed for the purpose it was collected for, and we delete it when you ask. What that means for each kind of information, including the things that cannot be erased and the things the site does not clear automatically, is below. This is what the site really does today:
- Entries, votes and judge scores. They stay in the Google Sheet until the team clears them at the end of a season. Before that, your result and mix are copied into a permanent, minimal season history.
- Vote connection counts. Deleted every night once a day old.
- Star ratings. Kept until the team clears them at the end of a season, like votes. Each mix's totals are copied into the Google Sheet for the results.
- Form limits. Each time a form sends something, we keep the connection's address and the time, with no name, so one connection cannot send too fast. The nightly job removes rows older than an hour, so they last at most about a day.
- Sign-in, password-reset and verification limits. To slow down guessing and spam, we keep the email typed, the connection's address and the time of failed sign-ins, reset requests and re-sent verification emails. A correct sign-in clears the failed sign-in rows for that email. The rest is not wiped by an automatic timer. We keep it only as long as it is needed to slow down guessing and spam, and it is deleted when you ask or when the account is deleted.
- Chat mute records. Held in memory for the length of the mute. Never saved to disk.
- Chat messages. 48 hours.
- Sign-in. 30 days on a device. A password-reset link works for 1 hour and an email-verification link for 24 hours.
- Feedback, comedy sign-ups and game scores. Kept until the team clears them or you ask us to remove them.
- Forum posts, comments and mentorship credits. Kept for as long as the board needs them, because replies hang off them. Not cleared by an automatic timer. Deleted or anonymised when you ask (see below).
- Gallery, news and mix comments. Kept in the Google Sheet under the name that was typed, until you or the team remove them. They are deleted when you ask: message The Front Desk on Instagram: @atherlysafterdark, and the team can erase one comment or every comment left under your name. A comic's own delete-account button does not reach them.
- Comic profiles. Kept for as long as you have the account, and deleted when you delete it yourself or ask The Front Desk to. A profile the team has pulled stays on file, out of public view, until it is deleted, which the team does when you ask. Sign-in and one-time-link records are not wiped by an automatic timer. They go when the account is deleted.
- News posts. Kept until you or the team remove them, and deleted when you ask. A comic's posts go when the comic deletes the account.
- Backups. Each night a dated copy of the account database is saved to private storage. Each copy is deleted automatically once it is 90 days old. The team also keeps a small number of recent dated backup copies of the Sheet in Google Drive, and older ones are removed automatically. A removal request does not rewrite these copies. They are a safety net only, and nothing on the site reads from them. So something you asked us to delete, or deleted yourself, can still sit in a backup for up to 90 days, and then it is gone.
You can ask for your personal information to be removed at any point (see below), which reaches most of what's described on this page.
What can I switch off or take back myself?
Comics can change or remove anything on their profile, or delete the whole account, from their comic profile page.
Several things, directly from My Account. You can switch your DJ-registry listing and showcase-mix visibility on or off at any time, an apprentice can withdraw an unanswered request, and a mentor can retire from the roster.
None of these erase anything already made public, such as an accepted mentorship credit. Removing your personal information altogether is a request, not an instant switch. See below.
How do I see what you hold on me?
Ask us. Message The Front Desk on Instagram: @atherlysafterdark, and say which email address and act name you used. A person looks it up and tells you what is on file. The email address in the next answer works for this too.
Can I get my data deleted?
We keep personal information for as long as it is needed for the purpose it was collected for, and we delete it when you ask. The limits of that are listed under how long we keep this information and below.
Comics: you can delete your comic account yourself, straight away. See deleting a comic account below.
Yes. Use My Account → Your information, message The Front Desk on Instagram, or email jarrydiatherly@gmail.com. This files a request and does not delete anything instantly.
Nothing changes on your account when you send it, and you can cancel it beforehand. A person then reviews it and acts on it by hand, because some of what's on file, such as a judge's written comment, is free text that should not be rewritten by a script.
Deleted: your artist name, email, phone, Instagram, bio, profile photo, showcase mixes, game record, and the display name and any stored technical identifiers on your forum posts and comments.
Kept, but no longer tied to your name: your scores, placings and season results, because other DJs' placings are worked out relative to yours, and the text of your forum posts, carried under an anonymous label instead.
Kept as-is: the mix you actually entered, because it is the record the judging is based on.
A few things a request cannot reach: private mentor-thread messages (there's no per-message delete built for these), the unsubscribe list (removing you from it would undo your own opt-out), and backups (dated copies are not rewritten on request, and each is deleted automatically after 90 days). Comments on gallery items and news posts are not touched by a request filed in My Account: ask The Front Desk about those, and the team can delete them. We'll tell you exactly what was and wasn't reached.
Can I delete my comic account myself?
Yes, and it happens at once. Sign in, open your comic profile page, scroll to Delete my account, type DELETE and your password. There is no undo. You can also ask The Front Desk to do it for you.
Deleted: your profile (it stops working immediately and leaves the Line-up), your email address, your picture, every sign-in on every device, your news posts (public or waiting), and the records we keep to slow down repeated sign-in and sign-up tries for your email.
Kept, but no longer tied to you: your forum questions and replies, because other people's replies hang off them. They show as Former comic, with no badge and no link to you, and the IP address saved with each one is wiped.
Not reached by this button: comments you left on gallery items and news posts. They are kept in a separate list under the name you typed. The team can delete them on request, one by one or everything left under your stage name: message The Front Desk on Instagram: @atherlysafterdark and say so. The button cannot do it for you, because stage names are not unique and the team checks the name with you first. The dated backup copies of the account database can also still hold your details. They are not rewritten when you delete the account, and no deletion date is set for them.
Your email address is free to use again straight away, if you want to make a new profile.
How do I complain?
Tell us first. Message The Front Desk on Instagram: @atherlysafterdark, say what went wrong, and we will answer.
If you are not happy with our answer, you can complain to the data protection authority in the country where you live.
When does this notice change?
When what we do changes. The date at the top says when it was last updated.
